Quote Templates
Quote templates
Administrators can create and manage quote templates via the appero quote Setup App. Centralized access is provided via the Utility Bar, which is displayed in the footer bottom left throughout the setup app:
Clicking on "New Template" opens the window for assigning the essential Base Data of your new template:
You can assign the following settings already in this first step:
Name | Function |
---|---|
Name | Name of your template |
Template Type | Specify whether you want to create a Quote or Order Confirmation template. |
appero Language Locale | Optionally, you can assign your template to a language and locale. The logic for Multilingualism in appero quote then takes effect. |
Currency | If multiple foreign currencies are enabled in your Salesforce environment, select the desired currency at this point. |
Price Book | Optional. If you want to create a quote template with products, select the desired price book at this point. |
After that, the appero quote Lightning Editor will open and you can configure your template:
The header when editing a quote template differs from that of a normal quote due to different master data:
Field | Function |
---|---|
The "appero quote-setup" display shows you that you are not in the normal quote editor, but in template mode. | |
In the second window, next to the name of your template, you will also see the type again, i.e. Quote or Order Confirmation template. | |
As soon as you have selected a client via the Base Data menu, this style is also displayed in the header. | |
The central settings for your template can be found in the Base Data area. |
In the Base Data section you can further specify your template, activate it, select a Style, set the Page Layout (paper orientation), and much more.
Field | Function |
---|---|
The name of your template as you created it. | |
Displays the template type: Template for quotes or for order confirmations. | |
Selection of a language and locale schema, see appero quote Lightning: Languages and Translations. | |
Selection of a currency for your template, if you have activated Multiple Currency. Otherwise, the company currency is displayed. | |
If Multiple Currency is active: If you activate this checkbox, the template can be used across currencies. | |
The quote status is inactive when a template is created. You can activate it here, in the Base Data dialog, or via the button on the Record page. | |
Page orientation is set in appero quote Lightning per template. Choose between portrait and landscape orientation. | |
Lookup to the client and thus to desired CSS style and stationery. Unlike in appero quote Classic, the client can only be determined in the template and can no longer be changed in the individual quote. | |
You can define one header per template, which will be displayed in the PDF. You can also use variables at this point, which are read dynamically, see Placeholders - Mergefields | |
The footer can be defined analog to the header. Please note that currently only the header is displayed in the PDF in landscape format. Dynamic header and footer are - unlike in the Classic Editor - only defined per template and cannot be adjusted in the individual quote. |
Templates in appero quote Lightning are not necessarily bound to a Price Book and then do not contain products, as well as, of course, bricks with products.
Configuring the template
Now drag those items from the bar on the left edge of the editor into your template that you need and place them as you wish.
Column headers and Sum Items can be placed and configured to match your portfolio. Text areas can already be filled with the standard welcome text, address fields can be preconfigured via merge fields and your company's general terms and conditions can be stored for the respective product areas. If the items, such as legal texts, are not to be edited by employees, you can lock them immediately via the side editing toolbar.
Quote templates and product groups
It is recommended to structure your offer template using Product Groups. Create blocks of column headers, summary and text items for all the headings you want to offer and assign the specific product group(s) to them.
In the quoting process itself, the items will only appear as soon as products with the same product group combination are added. If you delete the products from the quote, the quote elements will be hidden again. In this way, the number of required templates can be significantly reduced.
Locking a quote item does not affect the product group automation. Locked quote items are also dynamically shown and hidden.
