Send-Email functionality

Introduction

You have the option of sending your quotes directly from Salesforce to the recipient by email. It is important that you create the corresponding email templates in Salesforce beforehand.

The "Send" button opens the window for checking the offer recipients. If necessary, you can add additional contacts from the opportunity here, provided they have stored an email address.

Also, if needed, you can deselect the "Copy products to opportunity" option that is enabled by default.

If you have not yet specified a recipient in your quote, switch back to the quote editor, select a contact from the drop-down list of the same name and check the "Address" section for correctness.

The quote can be sent only to contacts who also belong to the opportunity's account. For more complex processes, we recommend the Multi-level Sales option.

In the next step the actual e-mail editor opens. Here you have access to the known functionalities, such as the addition of further direct recipients as well as copy and blind copy recipients. The subject as well as the text of the e-mail are read from the communication template, but can be individualized before the e-mail is sent.

You can also choose between the existing templates and their associated folders at this point:

Your current quote is automatically deposited as an attachment, whereby a uniform nomenclature can be defined across all quotes. Optionally, additional files can be added as attachments manually or automatically (via the communication template).

The selection in the "Reply to" field shows the email addresses of the following users, the selection is currently not configurable:

  • Owner of the Quotes

  • Owner of the opportunity of the quote

  • Owner of the account of the opportunity of the quote

  • Owner of the receiving contact

  • Running User 
    + their managers

After you have worked out your email, please click on "Send quote by email".

The recipient contacts are also stored in the quote base dialog. These are queried from the opportunity contacts and the values are written to the corresponding quote fields. The following assignment applies:

BillingContact__c --> SF42_QuoContact__c
SF42_Contact2__c --> SF42_QuoContact2__c
SF42_Contact3__c --> SF42_QuoContact3__c
SF42_Contact4__c --> SF42_QuoContact4__c

If the BillingContact__c field is empty, the opportunity is checked for contact roles and, if necessary, the primary contact from the contact roles is written to the SF42_QuoContact__c.

Otherwise, the SF42_QuoContact__c field remains empty.
