User Interface

 

After you have selected the appropriate template or an existing quote as a template, the quote lightning editor opens. Here you have all relevant tools and information in view. They are located in the blue header at the top of the editor and in two vertical toolbars on the left side:

Header

In the header the name of the opportunity belonging to the quote, quote number and the stored opportunity contact are shown. You can also edit the quote date and the quote valid date:

This function appears with mouse-over effect at opportunity and quote name. It saves the quote and goes back to the preview page of the quote record

Options

Here you can maintain the base data on quote name, date and validity.

Quit

The "Quit" function offers these following options:

  • Cancel - switch back to the quote editor 

  • Quit - Saves the quote and closes the editor - the view changes to the preview page of the quote

Base data

In the Base Data area, the quote name, date and validity can be edited. When sending quotes via appero quote, it should be noted that a quote can only be sent to contacts that also match the account of the quote.

Therefore, the entry in the contact field is checked to see if it matches the stored account and, if necessary, a message is displayed: “This contact does not match the selected account.”

Saving the contact is still possible. For more complex processes involving different accounts and contacts, we recommend the Multi-level Sales option.

External vertical toolbar

In the external vertical toolbar you will find the basic functions for further processing of the finished quote, such as saving, sending, etc.

Explanation

Save

Allows you to save a quote temporarily without leaving the editor.

PDF-Preview

Saves the quote and switches to the PDF-Preview.
After closing the PDF you can continue working in the editor.

Send

Switches to emailing the quote. The following options are requested beforehand:

  • Set additional recipients for the quote → The available options are
    Contacts of the associated opportunity with email address

  • Copy products to the opportunity → Writes the quote items in the opportunity products

NoteThis function is only available if no approval process is required.

Writes the quote items into the opportunity products

NoteThis function is only available if no approval process is required.

Copy products from opportunity

Transfers existing opportunity products to the current quote.

Note: Unless there are no products stored at the opportunity, the function will display the message "There are no Products to copy for this quote."

Inner vertical toolbar

The inner vertical toolbar provides access to all the elements you can add to the quote:

Products

Opens the product search menu and shows the list of available products.

Quote Items

Opens the selection of quote items.
Different content, layout and calculation items can be selected.

Bricks

Shows the list of available building blocks, so called bricks.

Bricks are compositions of quote items e.g. they can be composed of text and picture items or products and sum items. They can be inserted and placed in the quote just like any other quote elements.

All selection lists can be searched with full text search.

Footer

In the footer you have the total calculation in view at all times:

  • Total list price

  • Total selling price

  • Total Discount in €

  • Percentage Discount in %

This is an important guide, especially for long, multi-page quotes.
