Quoting process

One click to a new quote version

appero quote offers you the option of using existing quotes - including the products they contain, individual conditions and manual adjustments - as a template for a new quote. The "Quote as template" option is our recommendation when renegotiating a quote in order to maintain a history of the opportunity through various quote versions.

Changes in appero quote 24.100: Using the "New Quote Version" button directly on the quote page, you can create a copy of the quote for the respective opportunity with one click.

Action required: The button is automatically displayed in the quote action buttons depending on the opportunity status, alternatively you can insert it as a separate button (NewQuoteVersion) in the page layout.

Correct determination of the quote version number

In order to better understand the negotiation process on the opportunity, the number of all quotes created for this opportunity is counted up in the "Quote Version" field - sf42_quotefx__SF42_QuoVersion__c.

Changes in appero quote 24.100: To avoid duplicate version numbers, the quote version is now determined when the quote is saved for the first time, no longer when the editor is opened.

Copying Products from Opportunity / Using Quote as a Template

After selecting an existing quote as a template or clicking on the "Copy Products from Opportunity" button, a window opens in the editor with an overview of all products to be copied.

Changes in appero quote 24.100: Using the Shift key or the "Select/deselect all" checkbox, you can remove or add several products from the selection at the same time with a single click.

More transparency when exiting the editor

The Exit button on the right-hand side of the editor takes you to the quote page in Salesforce. In addition to the quote details and editing options, it also contains a preview of your quote PDF.

Changes in appero quote 24.100: The dialog about unsaved changes with the options "Continue editing", "Discard changes" and of course "Save" now also appears when you click on "Exit". This means that uncertainty as to whether the quote has really been saved when exiting the editor is now a thing of the past.

Quote Editor

Outer vertical toolbar

In the outer vertical toolbar you will find the basic functions for further processing of the finished quote, such as Saving, Sending via Email and the buttons for Syncing the Products with the Opportunity.

Changes in appero quote 24.100: The functions "Copy Products to Opportunity" and "Send via Email" are now displayed directly when opening the quote editor, i.e. already with the unsaved quote, if the quote does not require an approval process. If there are unsaved changes when you activate the button, saving takes place automatically before the action is executed.

More filter options for the Advanced Product Search

Using the Advanced Product Search, you can use certain (custom) fields that you have defined in your product data record as filters in the product search.

Changes in appero quote 24.100: With the appero quote Spring Release, you can also store lookup fields as filters. In this way, for example, the product groups can be used as a search criterion in the server product search.

Action required: If necessary, add the API names of the new fields in Settings > Interface > "Fieldnames for Product Filter in Search".

Interaction of column heading and associated products

You can structure your quote better with the help of different column headings: All columns that you define in the global settings can be customized in the individual column header in terms of both their visibility and their name. In addition, you can individually hide the columns on the products themselves using the blue editing toolbar.

Changes in appero quote 24.100: The interaction between column header and associated products is now more clearly defined. If there is a "Column heading" element above a product, its configuration is applied to the product below it,

  • when a new product is added to the quote via the product search

  • when products are copied from the opportunity to the quote.

Individually displayed or hidden columns on individual products, however, are preserved,

  • when you edit an existing quote

  • if you use an existing quote as a template or a quote template with products

  • if you copy products from the confirmed quote into an order confirmation

  • if you add a brick to the quote

appero quote Setup

Compact overview of the most important settings

The appero quote setup app offers numerous basic configuration options under the "Settings" tab, with which you can control the layout, basic functions as well as the calculation options of appero quote.

Changes in appero quote 24.100: The new compact view of the Settings tab offers a reduced and better structured overview of the most important settings.

Need for action: Nothing will change in your existing settings, as the existing setup text data remains unchanged in the background. As an existing customer, you have the option of switching to the reduced layout via Settings > Interface > "Quote Settings Options". Please note that you can then only switch back to the old view via the setup text quoteSettingsJSONOptions.

Product Configuration

Third Product Group

The optional third product group can also be defined directly in the product data record. When inserting the product into the quote, it is correctly recognized and displayed.

Changes in appero quote 24.100: The product group filter in the product search now also takes the third product group into account.

This third product group is only used for calculating sums and sum discounts. It has no function regarding the positioning of a product when inserting it into the editor and cannot be used for product properties, discount or tax rules.

To avoid misconfiguration of Product Properties

Product properties of any type can be configured either for individual products or at product group level or combinations of product groups. Product Properties without a Product or Product Group are ignored.

Changes in appero quote 24.100: To avoid misconfigurations, the system checks whether the assignment is unique when the product property is saved. If both product and product group are assigned, the data record cannot be saved and a corresponding message appears.

Action required: Nothing changes for existing configurations as long as you do not edit the data record.

Improved user guidance

  • If a brick without associated items is inserted into the quote, a helpful message appears indicating that the configuration is incomplete.

  • If the opportunity is closed, the message on the quote record adjusts to the actual opportunity status if it changes again.

  • If the email delivery is triggered from the editor, the attached PDF attachment contains the last saved changes again.
